Payroll, Official Appointment, and Minimum Course Enrollment

To ensure that you are entered into the GU payroll system as quickly as possible, please email Tonya Puffett, CCT Business Manager, or call: (202)687-4824. Tonya will let you know which documents she will need from you in order to process your appointment. Once you have provided your paperwork, and it has been processed through the university, you will receive an official letter from the University Provost detailing the terms and conditions of your appointment.

GOCard - Georgetown ID Card

The GoCard is a credit-card sized identification card used by all members of the Georgetown community. While there are many more student uses, you will need a GOCard in order to use library resources, access campus events, use the Georgetown University Transportation Shuttle, and use the athletic facilities or attend games.

Your NetID and password

A NetID is an automatically assigned, unique electronic identifier for each person at Georgetown. You will need your NetID to submit students' grades, access Blackboard for courses, and make payroll and benefits changes.

You can tell when your NetID has been created by searching for yourself in the Georgetown Directory. Once you find an entry for yourself, there are two options to get the NetID password initialized.

If you have questions or concerns about your NetID, contact the CCT office for further assistance. Please note that you can only review your NetID while on campus.

  1. Submit a password change form by fax, accompanied by a copy of a photo ID, and UIS will call or email you with your new password.
  2. Go in person, with a photo ID in hand, to the UIS office in St. Mary's Hall, Room G-39. Hours for the Service Desk are:
    Monday - Thursday 9 a.m. - 9 p.m.
    Friday 9 a.m. - 5 p.m.
    Sunday 5 p.m. - 9 p.m.
  3. This password reset will create a temporary password good for only about 72 hours. As soon as possible after the Help Desk confirms the reset, go to https://netid-mgmt.georgetown.edu/passwd/ to create a permanent password. If the temporary password expires, you have to start over.

Adding My Faculty Profile Online

It is very important to be visible on both the CCT website and the university website for students, faculty, media, and others. Hence, all faculty are required to add and maintain their information both to the Georgetown website, via explore.georgetown.edu. Log in and follow the prompts.

Teaching and Research Assistants

Each faculty member will have support from a TA for each class in each semester. The following is the schedule you should use to determine how many hours of support to you might expect:
• 0 - 5 students: no TA
• 6 - 12 students: 5 hours/week
• 13 - 20 students: 10 hours/week
• 21 and over: 15 hours/week
TAs may be asked to assist directly with specific classes and/or lead review sessions. In general, however, TAs can help you with Blackboard, Audio/Visual requests for your classes through Classroom Educational Technology Services, book orders, and placing readings on reserve at the library. Please see Tonya Puffett for information on advertising for and hiring of TAs.

The university sends most important information to your Georgetown email account, so you must activate your email account to make sure you are receiving university notices.

CNDLS (Center for New Designs in Learning and Scholarship)

CNDLS supports faculty and graduate students by promoting the best practices of teaching and learning.  CNDLS offers numerous training classes, helps with course design, assessments of student work and faculty teaching, and much more.

Gelardin New Media Center

The Gelardin New Media Center is located in Lauinger Library and offers assistance to professors and students who want to use various multimedia technologies for class or research projects.


Blackboard

Blackboard allows you to view students in your courses, e-mail them by setting up a discussion/e-mail list, post a reading list to the site and attach Word.docs or other files for students to print and read for class. You must activate Blackboard before you or the students in your class can use it. You will need your NetID and password to use Blackboard.

Faculty can add other students not enrolled in the class, including TAs, to their course's Blackboard list.

Classroom A/V Support

CCT faculty and teaching assistants can arrange for audio video materials directly through Classroom Educational Technology Services (CETS).

Movies

Weekly showings of movies will require a regularly scheduled film lab to be submitted with the course schedule. A classroom will be regularly available for the viewing.

Periodic showings of films can be dealt with in one of three ways:

Put the film on reserve at Gelardin New Media Center. Students may visit the library at their convenience to view the film.

Arrange for a showing of the film in the CCT conference room. Contact Heather Kerst to book the room.

Consult with the Registrar to find an available room on campus for your film showing. Contact the CCT Office for help with the process.

Online Journal Subscriptions and Surveys

In addition to the academic journals that you may access through the Georgetown University library website, CCT also subscribes to a number of online journals and sites, including the Chronicle of Higher Education, the Economist, the Financial Times, Salon.com, The New Republic and SurveyMonkey.com. For username and password information, contact the CCT front desk at (202) 687-6618 or cctprogram@georgetown.edu.

Office Resources

All CCT faculty have unlimited use of the Xerox machine in Suite 311 for course and research needs. See Tonya or a front desk staff member for your Xerox code.

You have a mailbox in Suite 311.

CCT maintains a cabinet by the faculty mailboxes with various office supplies for your use. Please see a front desk staff member if you would like to order items not in the cabinet.

Book Orders

Course texts are ordered through the Georgetown University Bookstore in the Leavey Center on the main campus. The bookstore has recently launched a web-based system for Faculty Book Orders, which you are encouraged to use. You will be redirected to the Georgetown-affiliated efollett.com site.

  1. Select "Faculty" from the navigation bar
  2.  Select "eDoption"
  3. Follow prompts. New users should input 873 as their password. After placing your order, you may want to follow-up by telephone, particularly if you have any problems: 687-7525. Please make an effort to order your books at least one month before the start of classes to ensure that books are available in a timely fashion.

Listing your course

Summer and Fall courses must be submitted in January. Spring courses must be submitted in September. The Academic Program Manager will be in touch with you regarding course details. The course will also be listed on the main Georgetown University Web site, via explore.georgetown.edu, so it is visible to students and faculty in other programs.

Library Reserves

Any books or articles that you ask students to purchase, or simply want to have available, should be put on reserve at the Lauinger Library. You can place materials on reserve, which means the students can physically check them out for a few hours to copy or read, or you can place materials on electronic reserve, meaning the library will scan materials and have them available online for students to read or print. Only articles are placed on electronic reserve, but this is an option in lieu of making course packets. Although there is no limit to the number of books that a professor may place on reserve, there is a limit of 40 photocopies/electronic reserve items that can be put on reserve for each course. The forms can be accessed from the library web site. They must be physically submitted along with the materials you want to have put on reserve to the library circulation desk. The requesting professor must sign all photocopy/electronic reserve request forms. Processing may take ten or more business days.

Reading Packets

Lauinger Library is willing to make course packets but only if it is not overwhelmed with other tasks. In other words, there are no guarantees during peak times. You will need to contact the library sooner rather than later if you would like to do this. In addition, the library holds the professor responsible for purchasing any packets that are left over, so your numbers need to be accurate. You can check enrollment for your class on the Registrar's Web site. Select the semester, then select your department and course. Click on "Available seating." To arrange for a packet to be made by the library, contact (202) 687-7476. Going through the library can occasionally be less expensive than going through the bookstore.

Copyright Policies

Remember that all packets, handouts and reserve material must comply with Georgetown copyright policy, which generally follows the American Library Association's Model Policy Concerning College and University Photocopying for Classroom, Research and Library Reserve Use. The Model Policy outlines "fair use" rights in the academic environment for classroom teaching, research activities and library services. Items are usually considered to fall under the "fair use" doctrine if they are printed/copied/distributed a single time and are no more than:
  1. One chapter from a book;
  2. An article from a periodical or newspaper;
  3. A short story, short essay, or short poem, whether or not from a collective work;
  4. A chart, diagram, graph, drawing, cartoons or picture from a book, periodical, or newspaper.

Subsequent uses of the same material by the same professor for the same class will require that the professor request permission to copy materials as they would no longer be covered by "fair use".

The Georgetown University Counsel's Office has compiled an exhaustive document regarding copyright policies for the Georgetown learning environment, including policies regarding digital works. All Faculty are encouraged to read Copyright Issues in Higher Education: A Guide for Georgetown Faculty.

 Purchase Orders

Need a book, movie or journal for your course that the library does not have? Faculty can request items from the library by submitting a Purchase Request Form.

Student Workload

With regard to readings, it is reasonable to expect students to read approximately 130 pages per week (75 pages per session for a class offered biweekly). Some professors divide their readings between assigned and recommended readings, and this seems to work well with the students. Most important--based on student feedback--is that the readings be relevant to class discussions.

Grading Criteria


The grading is as follows: A, A-, B+, B, B-, C, & F. Students may request an incomplete grade (I), which is given at each professor's discretion and must be resolved to a completed grade within a specified timeframe. The Professor may also give a student an incomplete grade even if a student does not request it. Please refer to Graduate School Policies for more information.

Faculty Access+ and Grading

All Faculty must use Faculty Access+ to submit grades for their courses. You will need your NetID and password to use Faculty Access+. However, if you want to change a grade after submitting it online, you must use the Change of Grade form, acquired from the CCT office. Grading criteria are available on the Graduate School's website.

Faculty Access+ also allows you to access rosters for your courses.

CCT Academic Advisors will use Faculty Access+ to approve their advisees' course requests during pre-registration.

Faculty Advising Procedures

Background

Advising is integral to CCT students' success as they progress in their graduate careers. The curriculum allows an incredible amount of flexibility in designing focused areas of study, so an advisor's guidance is key. Each Faculty Advisor has been assigned new student advisees and will also have advisees from the previous year(s). Assignments were made when possible according to student academic interest, and students can change advisors at any time with the approval of the new advisor. To change an advisor, students must complete an advisor change form (link) and obtain the signature of the new advisor. Your advisees need to meet with you at least once every semester hence forward during registration or pre-registration. You can ask them to make appointments directly with you or just set a time frame for them to stop by your office.

Office Hours

Before each semester begins, please provide us with your office hours for that semester, or let us know if the office hours are by appointment. We will then post these on the CCT website for your students and advisees to reference when they need to meet with you for advising.

Midnight Mug Office Hours Program

The Midnight Mug Office Hours program provides free food and drink to all professors who hold their office hours in the Midnight Mug and to all of their students who attend the office hours session. Professors and TA's may make reservations by e-mailing The Corp.

Meeting with Students

Students should already have a few courses in mind when they come to meet with you. You should not have to select courses for them. Rather, after speaking with them about their background and interests, you should suggest courses you feel would be most appropriate for them.

A list of all the CCT courses offered is on the CCT Web site under courses. All students should check explore.georgetown.edu to see if a course has any restrictions. Examples of restrictions are: Permission of professor needed; Prerequisite: PSYC 450; MBA students only. If a course has restrictions, a student has to meet these requirements to register for a course or be exempted from the restrictions by the professor teaching the course. A student will be denied if he or she registers for a course with restrictions without having the permission of the instructor. If a student has questions about the mechanics of getting permission to take a course, direct such questions to Heather Kerst.

Curriculum Requirements

Please refer to the Curriculum page and the Student Manual for details on all CCT policies. These are both accessible on the CCT site.

Taking Appropriate Courses

Students should know which courses they need to take, but you should also make sure that your advisees are taking the appropriate courses needed for their degree.  All students are required to take CCTP-505 their first year in CCT. CCT students must select either the thesis option or coursework option in May of their first year in the program. You should advise students to review the CCT curriculum requirements. Coursework option students must take a research course, while thesis students must take a core theory and a core methods course. If students are unsure as to what fulfills these requirements, they should check the CCT course listing.

Types of Courses

Students typically enroll in classes that CCT courses. All CCT courses start with "CCTP" on the course listing. Students can register for cross-listed courses without special permission.  Students may take courses in other departments at Georgetown, as long as you feel that the course would enhance their curriculum and meet their academic interests. Language courses that are just for language instruction do not count for CCT credit.

Students can take up to two courses at a school through the Consortium of Universities . In addition, students can transfer up to three classes into CCT from other schools both international and U.S. ones. The school must be accredited, and the class must be graduate level as determined by that school (usually 500 and above). You must approve any of these types of courses by evaluating if they fit into your students interests and CCT curriculum.

Students must check the CCT Student Manual and the Graduate School Academic Rules and Regulations for rules on consortium classes, transfer classes, and taking courses in other departments at Georgetown.

Certificate Programs

CCT students can pursue certificate programs, and with the exception of language courses, the courses for these programs count as both electives for CCT and toward the certificates.

Approving Your Advisees' Registrations

After you have met with your advisees and approved their courses, students will register for the courses online in Student Access+. Their course selections are kept in a holding pattern until you approve their courses online in Faculty Access+.

You should enter Faculty Access+ once every day or two during registration or pre-registration to approve your advisee's courses. If a student has registered for something you did not approve, you can e-mail the student via Faculty Access+ and reject the registration to send it back to them for edits.

The UserId is your NetID. The password is the same as your NetID password.

  1. Select Registration Services
  2.  Follow prompts

You can view each student's transcript, as well, via Faculty Access+ if you want to see their past performance or courses. You can e-mail your advisees by selecting Current Advisee List.

Students can change their advisor at any time with the approval of the new advisor. They must complete the Advisor Change Form available online on the CCT Web site and obtain the signature of the new advisor. Once they submit this, I will change the advisor in the Registrar's system, so you can see your new advisee's requests in Faculty Access+.

Incomplete Grades

If a student can not finish the coursework by the end of the semester, he or she can request that you give more time to finish. It is your discretion to approve the request given the reasons. If approved, you need to:

  1. Submit a grade of I (Incomplete) for him or her during the grading period.
  2. Give him or her a deadline for the submission of the work. The deadline can not be later than a semester after the course was offered. Earlier deadlines are encouraged.
  3. Notify the Academic Program Manager of the deadline you set, and she will send the student, with copies to you, the Graduate School, and the International Student Advisor as necessary, an Incomplete letter, formally noting the deadline.
  4.  When the student submits the work, give the Academic Program Manager the final grade, and she will submit a grade change form to the Graduate School.

Please do not leave a course ungraded at the end of a semester. The grade should either be submitted with the work you have received or with an Incomplete if requested and granted.

With the exception of medical or emergency issues, students who request more time to complete coursework, should be marked lower in relation to other students who submitted the work on time. They have simply had more time to do the work. An example is that instead of starting grading at the A level, make an A- the highest grade possible.
